SC&P CIVILS LIMITED is a Northern Ireland-based contractor specialising in road construction, civil engineering and associated infrastructure works. We provide project-based construction services to contractors, developers and commercial clients in Northern Ireland and supported locations across the United Kingdom.
This Refund Policy explains how refund requests, cancellations, deposits, stage payments and invoice adjustments are handled for services arranged through our business and paid for through our website or other agreed payment methods.
Our services are supplied under project-specific quotations, contracts, payment schedules and invoices. Refund eligibility therefore depends on the applicable contractual terms, the status of the project, the services already performed, costs properly incurred and applicable law.
Nothing in this Policy excludes or restricts a refund or other remedy required by applicable law.
This Policy applies to payments associated with agreed construction and civil engineering services, including:
All payments should correspond to an accepted quotation, project contract, agreed payment milestone or invoice issued by SC&P CIVILS LIMITED.
We assess refund requests individually and in accordance with the applicable contract and law.
A refund may be considered where:
Where work has already commenced, the assessment may take account of completed work, materials supplied or reasonably committed, authorised project expenses and other amounts lawfully payable under the agreement.
We will not retain amounts where a refund is legally required.
Certain projects require an initial deposit before project planning, mobilisation or construction work begins.
The deposit amount, due date and applicable conditions will be specified in the accepted quotation, contract or invoice.
If a project is cancelled, the deposit will be assessed according to the agreed contractual terms, the circumstances of cancellation, work already undertaken, costs properly incurred and applicable law.
A deposit is not automatically refundable in every circumstance, nor is it automatically non-refundable. Any amount that remains refundable after the applicable contractual adjustments will be returned in accordance with the relevant agreement and legal requirements.
Where a project has not commenced and no relevant costs or other contractual liabilities have arisen, the refund assessment will take those circumstances into account.
For projects delivered in stages, payments may be linked to specified construction milestones, completed work packages or other contractual events.
If a client requests a refund of a stage payment, we will review:
Payments relating to work properly completed and amounts lawfully due under the contract will be assessed accordingly. Any overpayment, unearned amount or other sum that must be refunded under the agreement or applicable law will be addressed through an appropriate refund or account adjustment.
If a payment milestone is disputed, the client should contact us promptly and provide the relevant invoice or project reference and an explanation of the issue.
Clients who wish to cancel an agreed project or service should submit a written request to:
Email: projects@scpcivils.com
The cancellation request should include:
We aim to acknowledge cancellation requests within 2 business days.
Where additional information is required, we may contact the client to clarify the request before completing the assessment.
The financial consequences of cancellation will depend on the contract, the stage of project performance, completed work, materials or costs properly committed and applicable law. Any cancellation charges or deductions must be supported by the applicable contractual terms and legal requirements.
Submitting a cancellation request does not automatically confirm that the project has been cancelled or that a refund has been approved. We will communicate the outcome once the request has been reviewed.
If you believe that you have made a duplicate payment, paid the wrong amount or paid an invoice that was already settled, please contact us as soon as reasonably practicable.
Send an email to projects@scpcivils.com with:
We aim to review straightforward payment discrepancies within 5 business days after receiving sufficient information.
If a duplicate payment, overpayment or other refundable amount is confirmed, we will arrange the appropriate refund or account adjustment in accordance with the applicable contract and law.
For security reasons, please do not send full payment card numbers or card security codes by email.
To request a refund, please follow these steps.
Step 1 — Submit Your Request
Email projects@scpcivils.com with the relevant project, contract, invoice or payment reference and an explanation of the refund request.
Step 2 — Initial Review
We aim to acknowledge your request within 2 business days and check whether the information provided is sufficient to assess the matter.
Step 3 — Contract and Payment Assessment
We will review the relevant transaction, project records, contractual terms, services performed and any applicable cancellation or refund conditions.
For straightforward requests, we aim to communicate our decision within 10 business days after receiving all information reasonably required for the assessment.
Complex construction projects, disputed milestones or matters requiring additional technical, contractual or financial review may take longer. If additional time is needed, we will provide an update where reasonably practicable.
Step 4 — Refund Decision
We will inform the client whether the request has been approved, partially approved or declined, and explain the relevant basis for the decision.
Where a refund is approved, the amount and applicable processing arrangements will be confirmed.
Step 5 — Refund Processing
Approved refunds will generally be initiated within 5–10 business days after the refund decision has been confirmed, where reasonably practicable.
The time required for funds to appear in the client’s account may depend on the payment provider, card issuer or receiving financial institution.
These timeframes are operational targets and do not replace any shorter statutory deadline that may apply.
Where practicable, approved refunds for online payments will be returned to the original payment method used for the transaction.
Refunds may be subject to the processing procedures of Stripe or another payment service provider used for the original transaction.
If the original payment method is unavailable or an alternative arrangement is necessary, we will contact the client to establish an appropriate and verifiable method, subject to applicable legal and payment-provider requirements.
We do not request full payment card details or card security codes by email to process a refund.
If SC&P CIVILS LIMITED cannot proceed with an agreed project, we will notify the client as soon as reasonably practicable and explain the available options.
Depending on the circumstances, these options may include rescheduling the work, agreeing a revised scope or payment arrangement, or cancelling the relevant services.
Where cancellation means that a payment or part of a payment must be refunded under the contract or applicable law, we will arrange the refund accordingly.
Any amounts properly payable for work completed or costs lawfully recoverable under the applicable agreement will be assessed in accordance with that agreement and applicable law.
Construction projects may be affected by weather, site conditions, access restrictions, material availability, regulatory approvals, third-party activities or other circumstances that affect the delivery schedule.
A delay does not automatically create a right to a full refund. The appropriate response will depend on the contract, the nature and duration of the delay, the services already performed and applicable law.
Where a client requests a change to the project scope, the parties should confirm any revised price, schedule and payment arrangements in writing.
Any credit, refund or additional payment arising from an agreed variation will be handled according to the revised agreement and applicable law.
Certain costs or payments may not be refundable where they relate to work properly completed, materials supplied, authorised commitments or other amounts lawfully due under the applicable contract.
However, a contractual term describing a payment as non-refundable does not override a statutory right to a refund or other remedy.
Any deduction, cancellation charge or retention of a deposit must be consistent with the applicable agreement and law.
Nothing in this Policy limits any mandatory rights available to a client under applicable law.
If you believe a transaction is incorrect or unauthorised, please contact us promptly so that we can review the payment and relevant project records.
We may request the transaction reference, invoice number and other reasonable information necessary to investigate the matter.
Where a payment was processed through Stripe or another payment provider, the transaction may also be subject to that provider’s dispute procedures and applicable card-network rules.
This section does not prevent clients from exercising their rights through their payment provider or under applicable law.
